What It Must Show

A payslip is the statement issued each pay period setting out what the employee earned, what was deducted, and what was paid. Wage legislation requires employers to issue one and to maintain the corresponding records.
At minimum it should show each earning component separately, each deduction separately with its basis, the days worked or paid, and the net amount payable.
Statutory deductions — provident fund, ESI, professional tax, income tax — should be individually identified rather than aggregated into a single line. An employee cannot verify a lump sum, and a deduction they cannot verify is a deduction they will eventually query through a more expensive route.
That points at the payslip's real function. It is where payroll errors are actually caught. An employee reviewing their own deductions notices a wrong PF base, or professional tax computed on the wrong state's slab, far faster than any internal control will — because they are checking one record closely rather than a thousand records loosely.
This is an argument for making payslips clear and available promptly, rather than treating them as a formality issued whenever the month settles. The clearer the payslip and the sooner it lands, the earlier the error surfaces, and the cheaper it is to correct. An error found in the same month is an adjustment. The same error found in March is arrears, a revised Form 16, and a conversation.

Is issuing a payslip mandatory?
Yes, wage legislation requires employers to issue wage slips and maintain records. Beyond that, it is the employee's only means of verifying what they were paid.
Can we issue payslips digitally?
Generally yes, provided they are accessible to the employee and records are retained. For workforces without reliable device access, consider whether digital-only actually reaches everyone.
What must appear on it?
Earnings and deductions itemised, days paid, and net pay. Aggregating statutory deductions into one line makes verification impossible and invites queries.
Is a payslip legally required?
A wage slip in prescribed form is required under the applicable wage legislation, and the format is not entirely at your discretion. A one-line WhatsApp message of the net figure does not discharge the obligation.
How long must we keep payslips?
Wage registers and slips carry retention periods under the relevant Acts, generally running to several years. Deleting on an employee's exit is a mistake — the record outlives the employment.
Can we issue payslips only on request?
No. The obligation is to issue, not to make available on demand. Where employees have no email, publishing to a self-service screen they can actually reach is the practical route.
An employee disputes a deduction on their payslip. What now?
Show the rule and the register entry behind it, not just a recalculated total. A deduction that cannot be traced to an authorised head and an entry is very hard to defend if it is escalated.
