Invite, rather than interview a form

The fastest way to get onboarding data wrong is to have HR type it from a WhatsApp thread. The employee has their own documents and their own spellings; the person retyping has neither.

Klok sends an invite. The joiner completes their own details on their phone, drops their documents in, and the AI reads them into the record. HR's job becomes checking and confirming rather than transcribing — which is both faster and considerably more accurate on exactly the fields that cause trouble later: name order, date of birth, UAN.

The joining checklist is the process

Asset issue, statutory enrolment, bank details, induction, probation end date. These are the things that get forgotten when onboarding lives in somebody's head, and each one produces a distinct complaint weeks later.

Exit is a case, not a form

Most disputes come from separation rather than joining, and they come from the same place: unclear notice arithmetic and clearance that nobody owned. Exit is run as a tracked case — notice computed, clearance requested from each department holding property or dues, full-and-final calculated from the actual records, letters generated from the same data.

The last payslip is then right the first time, which is the whole objective.

Questions about onboarding & offboarding

How long does onboarding a joiner take?

A few minutes of HR time: send the invite, then confirm the drafted record when the documents arrive. The joiner does the rest themselves.

Can we run clearance across departments?

Yes — exit is a case with clearance steps, so IT, stores, finance and the reporting manager each sign off and the delay is visible rather than mysterious.

Does the settlement include gratuity?

Where the employee is eligible, it is computed from the actual joining date and last drawn basic. The five-year rule and its exceptions are applied, not assumed.

Can the employee fill in their own details before day one?

That is the intended flow — an invite, a self-service form the joiner completes, then activation once HR confirms. It removes the first-week typing that nobody enjoys on either side.

What if we hire in bulk, like a seasonal intake?

Import the list and invite in bulk. Validation runs per row, so a hundred-row file with three bad rows brings in ninety-seven and tells you which three failed and why.

Does offboarding handle the full-and-final?
