A company with a head office in Delhi, a plant in Noida and a branch in Gurugram is, for payroll, three companies. The sites are an hour apart, but they answer to three different labour departments, three Labour Welfare Fund regimes and three minimum-wage schedules. Most payroll errors in Delhi NCR come from exactly this: one spreadsheet trying to apply one set of rules to three states.

Klok is HR and payroll software built in Noida for this region. Each site carries its own state's rules, and the whole group runs in one account.

Three states, three sets of rules

Delhi NCR covers parts of three states, and the differences that matter for payroll are concrete:

  • Delhi (NCT): no Professional Tax. Labour Welfare Fund is collected under the Delhi Labour Welfare Fund Act, 1997: ₹0.75 from the employee and ₹2.25 from the employer each month, remitted half-yearly. Delhi notifies some of the highest minimum wages in India.
  • Uttar Pradesh (Noida, Greater Noida, Ghaziabad): no Professional Tax and no Labour Welfare Fund deduction. Minimum wages are notified by the Uttar Pradesh labour department and revised with dearness allowance.
  • Haryana (Gurugram, Manesar, Faridabad, Ballabhgarh): no Professional Tax. Labour Welfare Fund is collected monthly: 0.2% of wages from the employee, capped at ₹34 a month from 1 January 2025, with the employer paying twice the employee's share.

PF and ESI apply the same way everywhere. Shops and establishments law differs too: the Delhi Shops and Establishments Act 1954, the Uttar Pradesh Dookan Aur Vanijya Adhishthan Adhiniyam 1962, and the Punjab Shops and Commercial Establishments Act 1958 as applied in Haryana.

The rule that catches most NCR employers: statutory deductions follow where the employee works, not where they live. A worker who lives in Ghaziabad and works in Delhi is on Delhi's rules. Our note on why Professional Tax follows the workplace explains the same principle.

What Klok runs for your NCR teams

  • Attendance: a mobile punch with location, or the biometric device you already own (punches are imported; nothing is replaced). Shifts that cross midnight belong to the shift, not to two calendar dates. See time and attendance.
  • Overtime by rule: grace, rounding, minimum blocks and caps set per grade and applied the same way to everyone, with the working visible on the register.
  • Leave: balances, approvals and holiday calendars per site, so a NCR site keeps its own holidays.
  • Payroll: PF with the ECR file, ESI, Labour Welfare Fund for Delhi and Haryana sites, TDS and Form 16 in the same run. See payroll software.
  • Minimum-wage check: every payroll run flags anyone paid below the wage you have set for their category, before you approve.
  • Registers: muster roll, wage register and overtime register built from the punches as they happen. See reports and registers.
  • Self-service: employees see payslips, leave balances and attendance on their phone, so HR is not answering the same questions all month.

Before anyone approves a payroll run, Klok's AI checks it: unusual pay changes, missing attendance and statutory mismatches are flagged for a person to look at. The AI never approves or pays anyone on its own.

One account for the whole group

In Klok, each legal entity and each site holds its own statutory registrations, holidays and shift patterns. A Delhi head office, a Noida plant and a Gurugram branch sit side by side in one account: one employee master, one login for HR, and one view of headcount and payroll cost across the group, while each site is paid on its own state's rules.

Every NCR city has its own page with the detail for that area:

What Klok does not do

Klok does not file returns on government portals for you; it prepares the figures, files and registers, and reminds you of due dates. There is no Tally connector: data leaves Klok as CSV or Excel, or through the REST API. And because minimum-wage rates are revised by notification, you set the current rate in Klok when a notification is issued; the payroll check then holds every run to it. Always confirm the latest notification with the state labour department before you file.

Getting started

Klok costs ₹25 per employee per month, with a 7-day free trial and no card needed. Full plan details are on pricing.

  • Start the trial at /register and import your employee list from Excel.
  • Set up your first site: shifts, weekly offs, holidays and statutory registrations.
  • Connect the punches: mobile punch, or an import from your existing biometric device.
  • Run one payroll month alongside your current process and compare the two. If the numbers match and the team spent less time, you have your answer.

We visit in person anywhere in Noida, Greater Noida, Ghaziabad, Delhi, Gurugram and Faridabad, and show Klok on your own data. Klok is built and supported by BeyondBoxAI Technologies from Noida (5th Floor, Tower B, The Corenthum, Sector 62, Noida 201309). Call or WhatsApp +91 81304 68801, Monday to Saturday, 9:30 to 18:30 IST, or book a demo.

Rolling out across several NCR sites

Do not switch every site on day one. Start with the site that hurts most, usually the plant with the most contract labour and overtime, and run one payroll month in Klok alongside your current process. Compare the two line by line. Once that site matches, add the next one.

Three things to settle before the first run:

  • Map every site to its state and legal entity. A list of site, entity, state and registrations (PF, ESI, LWF) avoids the most common error: a Haryana site paid on Delhi's rules because it sits under a Delhi-registered entity.
  • Load the current minimum-wage rates for each state and the categories your workers fall in. Klok's payroll check will then flag anyone below the rate on every run.
  • Brief the supervisors. Workers punch on their phones or on the existing device; supervisors approve regularisations. Ten minutes per site saves a month of corrections.

Where Klok is not the answer

If you need a payroll bureau to take the whole process off your hands, Klok is the wrong fit: it is software your team runs, with us supporting you. Read Klok compared with outsourced payroll for the honest trade-off.

HR and Payroll Software in Delhi NCR FAQs

Do companies in Delhi NCR have to deduct Professional Tax?

No. None of the three states in Delhi NCR levies Professional Tax: not Delhi, not Uttar Pradesh and not Haryana. If you also have staff in a state that does, such as Maharashtra or Karnataka, those employees' payroll carries that state's PT, and Klok handles it through that site's statutory settings.

How is Labour Welfare Fund different between Delhi, Noida and Gurugram?

Delhi collects LWF under the Delhi Labour Welfare Fund Act, 1997: ₹0.75 from the employee and ₹2.25 from the employer each month, remitted half-yearly. Haryana (Gurugram, Faridabad) collects it monthly: 0.2% of wages from the employee, capped at ₹34 a month from 1 January 2025, with the employer paying twice that. Uttar Pradesh (Noida, Ghaziabad) has no LWF deduction. Confirm current rates with each state's labour welfare board before filing.

An employee lives in Ghaziabad but works at our Delhi office. Which state's rules apply?

The state where they work. Statutory deductions such as Labour Welfare Fund follow the workplace, so that employee is on Delhi's rules. In Klok, the employee sits under the Delhi site and entity, and payroll applies Delhi's settings.

Can one Klok account run a Delhi office, a Noida plant and a Gurugram branch?

Yes. One account holds several legal entities and sites, each with its own statutory registrations, holidays and shifts. HR sees one employee master and one view of headcount and payroll cost, while each site is paid on its own state's rules.

Does Klok replace our biometric machines?

No. Klok imports punches from the biometric device you already have, and workers without a device can punch on their phone with location. The register and payroll are built from the punches either way.

Can you show us Klok in person?

Yes. Our office is in Noida Sector 62, and we visit sites across Noida, Greater Noida, Ghaziabad, Delhi, Gurugram and Faridabad to show Klok on your own employee data. Call or WhatsApp +91 81304 68801, or book a demo on the contact page.
