Hospitals, clinics & diagnostics

A rota that never stops, and credentials that lapse quietly

Healthcare runs continuously. Rosters are complex, overtime is real, and staff hold registrations and certificates that expire — which is a compliance problem long before it is an HR problem.

Built for this

What matters in hospitals, clinics & diagnostics

24×7 Rosters

Rotating and night shifts across departments, with weekly offs that fall where the rota says rather than on Sunday.

Credential Expiry Tracking

Registrations and certificates held against the person with expiry dates, so a lapse is caught before an audit catches it.

Duty Hours Visible

Actual hours worked per person, which is the number that matters for both safety and pay.

Sensitive Records, Controlled

Role-based access with an audit trail, because HR data in healthcare is scrutinised more than most.

Leave Without Gaps In Cover

Approvers see who else is off that day before approving, which is the whole job in a department that must stay staffed.

Statutory Across Categories

PF, ESI and PT applied correctly across clinical, support and administrative staff.

A rota that cannot have a gap

In most industries an unapproved leave request is an inconvenience. In healthcare it is a shift with nobody on it.

That changes what an approval screen has to show. The manager deciding on a request needs to see who else is already off in that period and whether cover exists — before approving, not after. Approving blind and discovering the gap on the day is the failure mode the system exists to prevent.

Credentials expire quietly

Registrations, licences and certifications lapse on a date nobody is watching. The consequence is not administrative: a lapsed registration is a clinical and legal exposure, discovered at the worst possible moment.

Expiry dates are captured when the document is read and surface in advance, as a standing view rather than a reminder somebody set once.

Duty hours have to be visible

Continuous operation produces long hours, and long hours have to be seen to be managed. Actual duty time — from punches, not from the roster's intention — is what makes overtime defensible and fatigue visible.

Patient-facing staff records are sensitive in their own right, so access is scoped and every export recorded.

What the system has to hold

1

Continuous rosters

Rotating and night shifts, including those crossing midnight, resolved per person.

2

Credentials watched

Registrations and certificates with expiry surfaced in advance of the date.

3

Cover before approval

The approver sees the gap the request would create, at the moment of deciding.

4

Duty hours

Actual time from punches — what makes overtime defensible and fatigue visible.

Questions from this sector

Our roster changes weekly. Is that manageable?

Rosters are set per department and can be changed for a week without rewriting the policy underneath, so the exception stays an exception.

Can we track nursing registrations and their renewal?

Yes — documents are held against the employee with expiry dates and reminders, so renewals surface before they lapse.

Who can see salary information?

Access is role-based and every view of sensitive data is recorded, so the answer to “who saw this” is a report rather than a guess.

Rosters change at short notice and cover cannot lapse.

Shifts are scheduled per location and role, with changes tracked rather than overwritten, so who actually covered a shift is answerable afterwards.

Staff hold registrations that must stay current.

Certifications and documents are held against the employee record with expiry visible, which is the practical compliance question — proving somebody was qualified on the day.

Can we start with one site and expand?

Yes, and most do. Start where the pain is, prove a month, then roll out. A big-bang rollout across every location is how a project acquires a reputation before it has results.

What does it take from our team each month?

After setup, the monthly job becomes reviewing what the system drafted rather than assembling it. The teams who see the biggest change are the ones who were retyping attendance into a spreadsheet.
